 Communication # 1:  Required Documents needed for the Tournament.  We will conduct the Player Registration process electronically again this year.  To enhance the process for you, our officials, and our staff, we are requesting the following information be uploaded to your GotSport Registration Account for each of the documents requested: 

• Please send any follow up questions to [email protected].  The email account will be monitored by Lori Mudge and Michele Jokl who will follow up with you.
• For Clubs that have submitted bulk registration for both the boys and girls, please advise if you will have one point of contact to coordinate the uploads..   
• Certified Roster (maximum player numbers please per tournament rules), This must be the CJSA “Approved” Roster. Note that CJSA Rosters should now include the player / coaches passes.  No need to upload the Passes separately unless the passes are not showing on your roster.  OUT OF STATE TEAMS MAY HAVE TO ALSO PROVIDE PASSES IF THE PLAYER PASSES ARE NOT INCLUDED ON THE ROSTER.

                                                               i.      GotSport Upload Instructions:

1. Access your teams account that you created.
2. Go to your application, registration, documents.
3. You should see 3 tabs to access to upload the documents.  The tabs are:

1. Official Roster / Player Cards (included on roster):  For those that have approved rosters that include players cards / passes.
2. Player Cards (when not shown on roster):  No need for you to upload here is you already have with your roster.
3. Rocky Hill Tournament Team Medical / Covid / Liability Release Form (Copy Attached):  Must be signed by participating players Parent / Guardian.   Once completed, upload to GotSport Account.
4. Note that there is an edit feature within each tab which allows you to replace and update previously uploaded documents. 

                                        ii.    Out of state teams, please contact me so we can work through the process for you as I do not know what you are provided by your state organization.  WE WILL NEED YOUR “APPROVED" ROSTER BY YOUR STATE ORGANIZATION, PLAYER PASSES AS WELL AS THE TEAM WAIVER FORM (ATTACHED).

                                        iii.    COMMUNICATIONS:  ALL COACHES AND MANAGERS LISTED ON THE OFFICAL ROSTER THAT ARE UPLOADED WILL BE INCLUDED IN COMMUNICATIONS THAT ARE SENT VIA THE GOTSPORT PLATFORM.  THIS INCLUDES THE PERSON THAT REGISTERED YOUR TEAM.  WE HAVE CONFIRMED THIS WITH GOT SPORT TECHNICAL SUPPORT. 

                                       iv.    No player may compete or be listed on more than one team roster per division / competition Level.  Note that you can list a player on more than one team if they are at different competition levels/ age groups and meet the age restrictions.  

                                         v.    Tournament rules allow for guest players (up to 3).  You may hand write these players in along with the pertinent player registration information as well as provide their player pass (Both would need to be scanned and then uploaded).  You cannot add anyone who is older than the age group competition level allows e.g., play down….

                                       vi.    To monitor the rosters, please cross off any players not participating before submitting your roster, then scan and upload.

                                      vii.    If you must put together a “tournament team” e.g., more than 3 guest players, please have your registrar issue a “Tournament” Roster. 

                                     viii.    Please do not send your Website Rosters as those will not be accepted. 

                                                            ix.      IF you have a roster that is greater than the tournament maximum, contact Tournament Director George Hatzikostas to inquire on possibility of getting an exception.

                                         x.    Please upload by September 20th to complete your Registration and to be ready for the tournament.  

                                       xi.    The requirements are as follows.  MOST OF YOU WILL ONLY NEED TO UPDATE THEIR CERTIFIED ROSTER AND TEAM WAIVER (ATTACHED):

                                                          xii.      Medical, COVID & Liability Release Form.  Please submit and upload the Team Medical Form that is attached or access from this link: https://www.rockyhillsoccer.com/Default.aspx?tabid=1453961  ANYONE MISSING ON THIS FORM, WILL BECOME INELIGIBLE FOR THE TOURNAMENT.  WE CANNOT TRACK DOWN AND FOLLOW UP WITH EVERY POSSIBLE SITUATION SO PLEASE MAKE SURE ALL YOUR PLAYERS FAMILIES HAVE SIGNED!!!!

                                     xiii.    Contact Person and Cell Phone # - We will use the contact provided on your registration.  If the number submitted is not the key contact for the tournament weekend, please contact Lori with your update.  This information is needed in case we need to contact your team during the tournament. 

                                     xiv.    We need both the Coach and Manager as well as the contact information.  With many notes going to spam / junk mail these days, we have a better chance of the information getting to you and your teams.
